Google’s new Gemini agent can work across business systems under a dedicated identity. Here is what companies should define before granting access.
Google has introduced a Gemini agent that can work across email, documents, calendars, business systems and developer tools. For business owners, the important question is no longer whether AI can draft a message. It is what the agent should be allowed to see and do.
Google Cloud announced the agent on 8 October 2026, the same date its launch article was published. It can answer questions, complete knowledge work, create media, write and run code, and coordinate specialised sub-agents. Google says small and midsize businesses increased their use of its Cloud AI tools by more than five times year over year. This is Google’s platform data, not a measurement of the entire market.
Google says companies can create coworker agents with dedicated identities, including their own email addresses and persistent storage. Each agent should only access the context that people deliberately provide.
That design matters because shared accounts make responsibility difficult to trace. A separate identity lets administrators define access for one role, record its activity and remove it when the work ends.
The product is currently in private preview, according to Reuters and The Verge. Businesses should treat the announcement as a direction to prepare for, rather than a finished tool available to every customer today.
Give it one clear job. Start with a narrow task such as preparing weekly sales summaries or organising approved customer enquiries.
Create a separate identity. Do not let an agent operate through a staff member’s account. Give it its own permissions and named human owner.
Limit every connection. Grant read-only access where possible. Keep payments, customer exports, publishing and deletion behind explicit approval.
Record actions and results. Log which files the agent accessed, which tools it used, what it changed and who approved high-risk actions. Measure time saved, errors and completed outcomes.
An AI coworker should be managed like a new digital role. Define its job, access and accountability before connecting it to the systems that run your business.
